The Way We Live is a real estate team at Compass headed by Principal Marina T. Schindler. It is also a staging and interior design firm that operates separately, but in symbiosis with, the real estate business. We approach real estate with a creative and artistic sensibility, representing unique and beautiful properties that are the best in their class. TWWL strives to streamline the buying, selling, or design process for clients while providing a high level of professionalism and integrity.

Role Description

The Executive Assistant plays a key role in supporting the Principal, maintaining client satisfaction, coordinating team responsibilities, and ensuring that all administrative and operational functions run smoothly. The ideal candidate is highly organized, enjoys optimizing systems for efficiency, and will collaborate with the Principal to find new ways to drive business growth. We are looking for someone with ideally 5+ years of experience in an administrative, operations, or executive assistant role, preferably at a small business where they wore many hats and demonstrated problem-solving and quick thinking. This is a unique opportunity to have a direct hand in growing a multi-faceted real estate and design business.

Responsibilities

  • Own the administration of all of Principal’s real estate deals from the beginning through closing on both the buy and sell side
  • Maintain and evolve internal systems and processes for efficiency and scalability
  • Manage day-to-day business operations including calendar management, liaising between team members, coordinating with external contractors, and monitoring incoming emails and opportunities to ensure timely handling
  • Oversee marketing efforts including coordinating with social media manager to maintain Instagram calendar, developing new marketing materials and strategies, researching PR opportunities, and maintaining/updating website
  • Manage the team’s marketing budget by keeping track of marketing expenses and submitting invoices
  • Track team member performance and bandwidth to inform deal structures
  • Strategize with Principal on new design and staging opportunities, hiring design contractors on a project-to-project basis
  • Maintain records of receipts for purchases
  • Client invoicing and billing, including keeping sales tax records and filing quarterly
  • Communicate professionally and respectfully with attorneys, vendors, and high-profile clients

Qualifications

  • 5+ years of experience in administration and/or operations, preferably at a small business where problem-solving and quick thinking were demonstrated daily
  • Proficiency in Google Suite and Excel required, Canva and Squarespace preferred, proven ability to quickly get up to speed on new platforms and software
  • Experience and/or an interest in real estate and design preferred
  • A proactive attitude and ability to wear many hats within a business
  • Attention to detail and the ability to multitask and prioritize efficiently
  • Flexibility to travel occasionally to the Hudson Valley area preferred

Salary Range: $80,000-$100,000 DOE
