Job Description

Our client is seeking a highly organized and professional to fill the Temporary Office Administrative Support role. This individual will support their Wealth Management team by delivering exceptional office and client service operations. This role involves managing travel and expenses, handling sensitive mail and documentation, coordinating meetings and events, and maintaining calendars and communication. The ideal candidate is detail-oriented, proactive, and thrives in a fast-paced, team-focused environment, with strong communication skills and a commitment to excellence and integrity in a corporate setting.

Responsibilities:

  • Coordinate travel arrangements and process expense reports for team members efficiently and accurately.
  • Manage all incoming and outgoing mail, including sensitive materials such as checks, stock certificates, and tax forms; perform document scanning and filing as needed.
  • Maintain calendars, schedules, and meeting logistics; answer and direct phone calls professionally.
  • Plan and execute logistics for internal and external events, including recruitment activities and client meetings.
  • Book conference rooms, arrange catering, print meeting materials, coordinate interview schedules, liaise with building services, and welcome visitors.
  • Assist the Wealth Management team in delivering exceptional service to clients, with a strong emphasis on operational excellence and responsiveness.

Qualifications:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) required
  • Bachelor’s degree preferred, but not mandatory
  • Minimum of 2 years of experience in a professional corporate environment; recent graduates with a strong interest in financial services are also encouraged to apply
  • Excellent written and verbal communication skills
